Job Description
MAIN PURPOSE OF THE JOBTo account for all general ledger related transactions and processes relating to fixed assets and maintenance of the fixed asset register
Detailed Description:
1. Gather and ensure that all financial processes and transactions associated with fixed assets are accounted for
- Create and update the fixed asset register with duly authorised amendments (i.e. scrapings, disposals, write-offs, etc.)
- Ensure that all WIP capitalisations are correctly completed and all associated forms are attached, correct and signed-off
- Proof-run all depreciation transactions and follow up on any discrepancies
- Prepare amortisation schedules for all finance leases and account for all associated leases
- Create works orders based on approved CAPEX budgets
2. Ensure that the fixed asset register and general ledger balances on a monthly basis
- Prepare fixed asset reconciliations on a monthly basis
- Investigate and resolve all unreconciled accounts as well as all outstanding items on the WIP accounts for the SABS group
- Calculate adjustments and prepare journal entries in the balance sheets
- Ensure that all asset sub ledgers agree with the correct asset number
3. Analyse and prepare financial files and reports
- Investigate, analyse, update and prepare financial process and/or transaction reports (i.e. WIP reports, fixed asset register reports, depreciation reports, etc.)
- Prepare audit documentation and files and ensure that all required audit schedules are available
- Prepare the disclosure of the property, plant and equipment notes on a monthly basis
- Analyse the impact of the useful life adjustments on depreciation expenditure
4. Adhere to service standards and deliver excellent customer service
- Ensure efficient communication of all client requests to the manager
- Provide excellent customer service by meeting the client requirements for both internal and external stakeholders
- Handle queries and resolve problems as they relate to departmental projects and/or financial processes and transactions
- Follow up on customer queries, complaints etc. and provide advice where necessary
- Ensure clients are updated with relevant information as required
5. Optimise own performance within the team
- Attend to any delegated matter falling within the scope of responsibility
- Participate as a productive team member by managing own performance in order to meet departmental objectives
- Contribute to diversity management initiatives and actively cultivate business relationships
- Seek guidance and mentorship from more experienced team members where necessary
- Manage own performance in order to optimise the standards of team performance
MINIMUM QUALIFICATIONS AND EXPERIENCE
- Bachelor degree/national diploma with financial accounting as a major subject
- Minimum 3 years’ experience in fixed assets and reconciliations
- Verbal and written communication, presentation and analysis
- Knowledge:
- Good understanding of GAAP and IFRS
- Knowledge of PFMA, Income Tax and VAT
- Computer literate (Excel, Word)
- JDE or similar systems experience preferred
- Reconciliation experience and fixed asset management experience essential
- Strong mathematical knowledge essential
