Job Purpose

The main purpose of this role is to provide comprehensive administrative and executive support to the Youth and After School Programme Office. The officer will coordinate business processes, ensure efficient office operations, manage financial administration, and support the implementation of programmes and special projects, thereby enabling the office to achieve its developmental objectives.

Key Responsibilities

As an Administrative Officer, your key performance areas will include:

Office Administration & Clerical Support

  • Provide general clerical support and ensure the smooth day-to-day operation of the office.
  • Manage record-keeping, filing systems, and document control.
  • Handle correspondence, schedule meetings, and prepare minutes and reports.

Financial Administration Support

  • Perform clerical tasks related to financial administration, including processing invoices, requisitions, and petty cash.
  • Assist with budget tracking and basic financial reporting for programmes.

Logistics & Programme Support

  • Coordinate logistics for youth programmes, workshops, and events.
  • Manage procurement of materials and services related to programme activities.
  • Provide administrative support for special projects from inception to completion.

Compliance & People Administration

  • Assist with people management administration tasks.
  • Ensure compliance reporting aligns with departmental and legislative requirements.
  • Uphold knowledge of the legislative framework governing the Public Service.

Minimum Requirements

Essential Qualifications:

  • Grade 12 (Senior Certificate or equivalent qualification).

Required Competencies & Knowledge:

  • Knowledge of clerical duties, practices, and data capture.
  • Understanding of the legislative framework governing the Public Service.
  • Knowledge of working procedures in a government office environment.
  • Skills: Excellent written and verbal communication; strong planning and organising abilities; effective people management and interpersonal skills.

Advantageous Qualifications

Candidates with the following will have an advantage:

  • A relevant tertiary qualification (Degree or Diploma).
  • Relevant experience in clerical work.
  • Previous experience working within the public sector.
  • A valid Code B (or higher) driver’s licence.
